Quick Tips – Converting Attendees to Appointments

As a company who has always specialized in workshops, we know a thing or two about converting workshop attendees into booked appointments.  Through years of data collecting and countless executed workshops, we have compiled a few ideas you can be using to increase your conversion rates for workshop attendees.

Allow your attendees to book with you while at the workshop.

Whether you are hosting a live seminar or virtual webinar, we suggest creating a calendar link that attendees can use to book their appointments directly to your calendar. We personally love Calendly, but there are plenty of tools that you can use that will work with your personal calendar if Calendly is not a good fit for you.

Keep your first appointment quick.

We found that more attendees were prone to booking appointments when the appointment timeframe was between 15-20 minutes.  This can be virtual, over the phone, or in-person.  

Avoid using the words “Appointment” and “Meeting.”

No one wants another meeting or appointment. Instead, try to give your discussion a specific name that showcases value such as “Tax Reduction Strategy Session.”

Mention the discussion throughout your presentation.

We are seeing advisors set the most appointments when they mention and provide the link to book directly to their calendar 3-4 times throughout the presentation.

Follow-up quickly.

For in-person seminars, we suggest reaching out the next day with a follow-up call.  For webinars, we suggest immediately following up after the webinar (assuming it ends during acceptable call hours).  We see the best results from advisors who call rather than email.
